Complete the New Hire Request to start the process of hiring a new hourly student worker. Submitting the form helps us process your request promptly and ensures we have all the information needed to move forward.

Student worker hour requirements 

  • Student employees are limited to a rolling average of 25 hours per week over a 12-month period. This limit applies to the combined total of all student employment positions, including hours associated with employment stipends. For additional information, review the student employment policy below.
  • During the academic year, F-1 and J-1 students may work up to 20 hours per week. During university breaks and the summer, they may work up to 40 hours per week.

Payroll and time reporting

Hourly employees must enter and submit their time before the payroll deadline for each pay period. Salaried employees must enter and submit any exception time, such as leave taken, before the payroll deadline.

For step-by-step submission instructions, refer to the Employee How-to Guides under Personal Resources > Work Instructions and Information > Enter and Correct Time.

Review the 2026 payroll calendar to find payroll deadlines for each pay period.

Managers must review and approve employee time before each payroll deadline and can also enter time on behalf of employees.

To do so, navigate to Time worked > Time or Time off > Absence.

New hire tasks

  • Complete the new hire tasks assigned to you in Workday before your first day of work.

Complete your Form I-9

  • Complete Section 1 of your Form I-9, Employment Eligibility Verification, within your first three days of employment by using the online equifax online system.
  • After completing Section 1, schedule an appointment to complete Section 2 with an I-9 certifier.
  • Employees working at an Arizona State University location in Arizona: Schedule an appointment with an ASU I-9 certifier. In-person and virtual appointments are available.
  • Employees working outside Arizona: Schedule an I-9 certification appointment through the Equifax Employment Center using the link in Workday.

Request ISAAC access

  • Visit the ISAAC website to request classroom and building access.

Set up direct deposit

  • Employees are paid every other Friday for the previous two-week pay period.
  • To enroll in direct deposit, go to: MyASU > My Employment > Visit Workday > Personal Resources > Payment Elections

Complete required training

  • Complete the required training in the Workday Learning tab within 30–90 days of your hire date. These courses will be available after your first day of employment.

Required training includes:

  • Arizona Public Service Policy.
  • Inclusive Communities Training.

FAQ’s

Before you are out of the office, ask your employees to enter and submit their time. This allows you to review and approve time before the payroll deadline. If needed, approval access can be assigned to another individual. Email [email protected] if you have questions or need assistance.

If you miss the payroll deadline, payment for that pay period will be delayed until the next pay period. Enter your time in Workday as soon as possible so your supervisor can review and approve it for the next payroll cycle.

The Office of Human Resources charges a $50 fee for each off-cycle paycheck.

Interviews may begin after the job posting closes. After the close date, your HR partner will provide all applications for review.

Domestic student workers may continue working for up to two weeks after commencement. International student workers may not continue working in student worker positions after their program completion date, even if they have a graduate assistantship appointment that extends beyond that date.

Student workers must be enrolled at Arizona State University in at least one credit hour. Students hired for the summer semester must be enrolled in fall classes.

After we receive your request form, we will prepare and route the offer letter for review and approval. The review and approval process typically takes about one week. Please allow one week before requesting a status update.
